Opening a Job (New Shipment)

Create a new shipment job and activate its Digital Twin in under two minutes.

Overview

A 'job' in Business Zone is a new shipment record. Opening a job creates the Shipment Digital Twin that every other workspace (Operations, Customs, Finance, AOG) then reads from. There is only one canonical way to open a job, and it always starts from the Shipments workspace.

How It Works

From Shipments → New Job, capture customer, lane (origin → destination), service level and SLA target, then attach documents (AWB, commercial invoice, DGD if applicable) and assign an owner. Saving the job provisions the Digital Twin at /shipments/:id and pushes an exception subscription into Operations Command.

Workflow

    Open the Shipments workspace

    Go to Shipments in the left navigation. Click the New Job button in the top-right of the Shipments list.

    Capture customer and lane

    Select the customer (or create one from Sales), then set origin, destination, mode (air / road / sea) and requested pickup/delivery times.

    Set the SLA and priority

    Choose the service level (Standard, Priority, AOG). The SLA countdown starts from the pickup time and drives exception ranking in Operations Command.

    Attach documents

    Upload AWB, commercial invoice, packing list and — if hazardous — the DGD. The document checklist on the Digital Twin will show what is still pending.

    Assign an owner

    Route the job to an operations coordinator. The owner is the accountable party in the audit trail and receives the exception feed for this job.

    Save and open the Digital Twin

    Save to create the job. You are redirected to the Shipment Digital Twin at /shipments/:id — this URL is the shareable, permanent record of the job.

    Monitor from Operations Command

    The job now streams into the Operations Command task board. SLA timers, exceptions and AI recommendations attach to it automatically.

Best Practices

  • Always open the job before dispatching a truck — the SLA timer is what protects the customer commitment.
  • Assign an owner even for internal test jobs; unassigned jobs are invisible in the task board.
  • For AOG jobs, open the Shipment first, then open an AOG case from the Twin — this preserves the audit link.
  • Send the Twin URL to the customer instead of a status email — the URL stays current.

Frequently Asked Questions

Who can open a job?

Ops Coordinator, Sales, AOG Team and Ops Director. Finance and Customs are read-only for job creation.

Can I open a job without a customer record?

No — the customer is required. Create the customer in Sales first, then open the job.

What if I don't have all documents yet?

Open the job anyway. The document checklist will flag pending items and Operations Command will surface them as exceptions.
